PRIMARY FUNCTIONS:  Provides administrative support for the Assisted Housing Division, primarily as it relates to the operation and functioning of the Information Desk and assists Transfer Specialist with management of portability caseload.  Serves as the primary daily phone backup for the Information Desk and provides coverage for agency receptionist during breaks, lunch, vacation, etc.  Relief duties include but are not limited to: greeting incoming visitors and clients, determining the nature of their business, answering incoming calls and inquiries, routing phone calls to appropriate personnel, and connecting visitors, applicants and program participants to the person who can resolve their questions. Assists families and property owners/managers with filling out various forms relating to Assisted Housing and other services.  Ensures that forms are filled out properly and signed. Date stamps and distributes incoming mail and paperwork. Relays program information to families and property owners and managers. Ensures a customer-focused and problem-solving approach to all interactions at the Information Desk. Facilitates the maintenance of electronic logs of all visitors who come through the lobby, ensuring a timely response to their visit as well as promoting building security. Collects and disseminates material to staff, including daily mail distribution. Assists Transfer Specialist with scheduling of portability appointments for clients. Screens incoming portability phone calls to determine the nature of the inquiry. Utilizes Portability FAQ sheet to assist with answering general client questions regarding portability. Assists Transfer Specialist with management of outgoing portable caseload to include transmitting outgoing portability paperwork to receiving Public Housing Authority (PHA). Notifies client when port out paperwork has been sent. Mails out reminder notices to receiving PHAs 30 days prior to billing deadlines of initial and annual re-certifications. Receives and sorts documents based on category, prepares documents for imaging (sort, remove from envelope, remove staples, etc), and enters information as it relates to the document (title, labels, etc). Maintains the quality and integrity of documents, reviews quality control of converted digital images, indexes digital formats, and logs document errors properly and returns documents of poor quality. Processes record requests on a daily basis (paper and digital), and stores original documents based on company guidelines and regulations. Performs general office work and various administrative support functions to aid the Information Desk, Transfer Specialist, and supervisor. Performs other duties as assigned.

 

QUALIFICATIONS: High School education or G.E.D.  Two years of college and/or business school and six months related experience or training; or equivalent combination of education and experience. Excellent written and oral communication skills.  Good knowledge of general office, clerical and secretarial practices and procedures, business English, spelling, punctuation and basic arithmetic. Ability to type 45 words per minute accurately. Skill with general office machines and databases. Excellent computer skills to include Microsoft Office Suite - Word, Excel, PowerPoint. Ability to understand and follow complex written and oral instructions. Experience filing and collating documents. Ability to work on multiple projects simultaneously. Ability to perform repetitive assignments accurately. Ability to communicate and relate to persons of diverse backgrounds and abilities, and establish and maintain effective working relationships with other employees and residents. Ability to communicate in Spanish is preferred. Bondable. Valid Texas Driver's License, Eligible for coverage under Housing Authority fleet auto insurance.

 

 

WORKING ENVIRONMENT AND PHYSICAL DEMANDS:  Work is principally sedentary, but may involve some physical exertion, such as kneeling, crouching, or lifting to obtain files and records, and eye strain from working with computers and other office equipment.  Work involves the normal risks and discomforts associated with an office environment but is usually in an area that is adequately cooled, heated, light and ventilated.
